About this template
Survey a house for a ductless heat pump, head by head: the room, type and capacity, the line set length and the height against the maker's limits, the extra refrigerant beyond the precharge, the condensate and wall penetrations, and the outdoor unit's place, mounting and clearances.
Guide and sources
One row per indoor head: the room, the head type, its heating capacity and the model, then the line set route to the outdoor unit and the height between the units. The figures in the hints come from several makers' installation manuals; the manual of the model you install always comes first.
Limits and refrigerant: type the maximum length and height and the precharged length from the model's manual, with its extra charge per length (for example 0.21 oz/ft or 20 g/m). The sheet flags the rows past a limit and gives the refrigerant to add beyond the precharge, per refrigerant. The person who handles the refrigerant holds a certificate H in Quebec or EPA Section 608 certification in the US; the sheet records the amount and the name, it never charges or certifies anything.
Outdoor unit: note where it goes, how it is mounted and whether the clearances and the snow were checked against its manual (makers ask for a canopy or a raised stand where snow is heavy). The line sets are totalled per size for the order.
Programs: in Quebec, LogisVert pays per 1,000 BTU/h of heating capacity at -8 C, more for an ENERGY STAR cold-climate unit; check the current participation guide. The client's report shows each head, its room, capacity and line set; the limits and the refrigerant stay in your team's report.
